Sales Tax Policy

Trusty Haul (Operating Brand) — TRUST TARILERS LTD (Legal Entity)

Effective Date: 04-10-2025

1) Purpose of This Policy

TrustyHaul.com sells heavy-duty trailers and transport equipment to customers within the United States. Sales tax rules in the U.S. can vary by state, and tax obligations may depend on where a product is delivered, where a business operates, and whether the business has tax “nexus” in a state.

This policy explains:

  • when sales tax may be charged,
  • how it is calculated,
  • what happens if you are tax-exempt,
  • and how we handle tax corrections if something changes.

2) Where Trusty Haul Operates

Trusty Haul’s U.S. operations (head office / warehouse) are located in Woodland, Washington. Because we operate in Washington, sales delivered into Washington are generally subject to Washington’s state and local sales tax rules, which are destination-based (tax is based on where the customer receives the goods).

3) When We Charge Sales Tax

Sales tax may be charged when required by applicable state law. This usually happens when we have a legal obligation to collect tax in a state due to physical presence or economic nexus requirements.

A. Washington State (Primary)

For taxable sales delivered to a Washington address, we collect sales tax based on the delivery destination (ship-to location), not the warehouse location.

B. Other U.S. States (Where Applicable)

Many states require out-of-state sellers to register and collect sales tax once they meet an “economic nexus” threshold (often based on sales volume). These thresholds vary by state and may change over time.

Practical customer point:
If your order is delivered to a state where Trusty Haul is required to collect sales tax, sales tax will be calculated and added to the invoice/checkout total where applicable.

4) How Sales Tax Is Calculated

When sales tax applies, it is generally calculated based on:

  • the delivery address (destination-based sourcing),
  • the taxability of the product under the destination state’s rules,
  • and the combined state and local rate in effect at the delivery location.

Because our products are freight-based, final amounts (including delivery charges) may be confirmed during order review. If tax treatment depends on the final invoice breakdown, Trusty Haul will calculate tax using the final confirmed charges.

5) Delivery Charges and Tax

States differ on whether delivery/shipping charges are taxable. Where required by law, applicable tax may also apply to certain delivery-related charges included on an invoice.

Trusty Haul does not “hide” fees. Any taxable charges will be shown clearly as part of the order summary or invoice.

6) Tax-Exempt Purchases

Some customers may qualify for tax exemption (examples can include certain resellers, government entities, or other qualifying organizations depending on the state).

A. Resale Purchases (Resellers)

If you are purchasing for resale, you must provide valid documentation prior to invoicing/dispatch, such as a resale certificate or other approved exemption documentation required by the destination state.

For Washington-based resale exemptions, approved documentation is typically tied to Washington reseller permit rules and approved certificates.

B. If Exemption Documents Are Not Provided in Time

If we do not receive valid documentation before order confirmation or dispatch, we may be required to charge sales tax. If appropriate documentation is later provided and verified, Trusty Haul will review whether an adjustment is permitted under applicable rules.

Important: Eligibility and documentation standards vary by state. We apply the rules required for the delivery destination.

7) Customer Responsibility Where Tax Is Not Collected

If sales tax is not collected on an order, the customer may still owe use tax in their state (depending on state law). This is common in U.S. commerce and depends on the customer’s location and tax status.

Trusty Haul cannot provide customer-specific tax advice. Customers should consult a qualified tax professional or their state tax authority if they have questions.

8) Corrections, Tax Errors, and Adjustments

We aim to calculate and apply tax accurately. If a tax error occurs due to:

  • an incorrect delivery address provided by the customer,
  • changes to the order after confirmation,
  • or documentation not submitted on time,

Trusty Haul may correct the invoice to reflect the accurate tax treatment before dispatch.

Where adjustments are required after payment, we handle them transparently and document the change for the customer.

9) Recordkeeping and Documentation

For compliance and fraud prevention, Trusty Haul may retain:

  • invoices and tax breakdowns,
  • exemption documents (where provided),
  • and transaction records required for reporting.

We do not sell tax documents to third parties. Data handling is governed by our Privacy Policy.

10) Contact for Tax Questions (Order-Specific)

If you have questions about how tax is applied to your specific order, contact us with your:

  • delivery location,
  • product,
  • and (if relevant) exemption documentation.
